Your privacy is for ContractControl, of great importance. We therefore adhere to the General Data Protection Regulation (AVG). 

This means that we:

  • Clearly define our purposes before we process your personal data, through this privacy and cookie statement;
  • Storing as little personal data as possible and only the data needed for our purposes;
  • Explicitly asking permission for processing your personal data, should consent be required;
  • Take necessary security measures to protect your personal data. We also impose these obligations on parties who process personal data for us;
  • Respecting your rights, such as the right to inspect, correct or delete your personal data processed with us.

Processing personal data 

In this privacy and cookie statement, we explain what we do at our services and our web page with information we learn about you. By using one of our services, we obtain different types of personal data from you. For each subject, we indicate what data we obtain from you and for how long we keep this data, for what purpose and on what basis. If you have any questions or want to know exactly what we keep from you, please contact ContractControl using the details at the bottom of this statement.

Contact

You can contact ContractControl in different ways, namely by phone, by mail or by e-mail. For this purpose you will find on our website the various e-mail addresses and telephone numbers. If you contact us, we will (possibly) process the following personal data:

  • NAW data;
  • Company name (if any);
  • E-mail address;
  • Phone number;
  • Any information you provide yourself as the content of a message or conversation.

Your email address will be used exclusively for the stated reason and or in the context of a concluded agreement. The email address will not be used to transmit unsolicited communications, nor will it be made available to third parties if you have not given your consent. We use your mailing address only for sending information that you have requested. We do not use your telephone number for commercial purposes. We need this information to process your contact request because you have asked us to contact you. We keep this information for as long as we think it is necessary for the contact with you, so we can easily pull the information out in case of follow-up questions. If the contact leads to an agreement, we will retain that information for as long as that agreement continues.

Photos on our website

In addition to contact information for ContractControl employees, we also offer photographs of them on our website. We do this based on the express prior consent of our employees. They are informed that they are not obliged to have the photo posted and therefore there are no negative consequences for them if they refuse to do so. Our employees have the right to withdraw their consent at any time. We use these photos until they have lost relevance or until the employee has withdrawn his or her consent. After that, the photo will be deleted immediately.

Newsletter^

We have a monthly newsletter and you will be added to the list of subscribers only with your permission. In the newsletter you will read the most important news items about ContractControl. For this we use your name, e-mail address and (possibly) company name. We do this based on your consent. We keep this information until you cancel the subscription. You can cancel the newsletter subscription at any time. Every newsletter contains an unsubscribe link.

Provision to third parties

We may provide your personal information to other companies or institutions because:

  • We have engaged them to process certain data;
  • That is necessary to perform the agreement with you;
  • The proper execution of our work within the existing (working) relationship;
  • You consent to this; 
  • The furtherance of our (common) interests (unless your interests or fundamental rights and freedoms override such interests);
  • We are required to do so by law (for example, if the police demand it in the case of suspected crime).

The following third parties process your personal data:

  • Our cookie service providers (see below); 
  • Our IT service providers;
  • Our payment service provider;
  • The external party that sends our newsletters;
  • Our partners and intermediaries.

We use cookies on our websites. A cookie is a simple small file sent with pages from this website and stored by your browser on the hard drive of your device. Security

Personal data security is of great importance to us. We ensure that your data is properly secured with us. We constantly update security and pay close attention to what can go wrong. Security Criteria:

  • The personal data you provide is stored in a secure network environment;
  • Access to this can only be obtained by authorized personnel with the use of a login name, password and 2FA token;
  • We store as little data as possible about our relations and ensure that no particularly sensitive personal data is stored in our database at all, unless there is no other way;
  • Sending personal data by e-mail is done through a secure connection. 

We take technical and organizational measures to prevent the loss of data or its unlawful processing. We guarantee a level of security appropriate within our capabilities and, within this framework, we conduct an annual risk session on the basis of which we take measures.

Changes to this privacy and cookie statement

When any of our websites and/or services change, we naturally have to update the privacy and cookie statement as well. So always note the date above and check regularly for new versions. 

Your rights

If you have any questions or want to know what personal data we hold about you, you can always contact us. Please see the contact information below.

You have the following rights:

  • Right of inspection: you have the right to see the personal data we process about you.
  • Right of rectification: You have the right to correct or supplement the personal data we process about you if it is inaccurate or incomplete.
  • Right to withdraw your consent: you can easily withdraw your consent at any time. 
  • Right to object: you can object to the processing of your personal data.
  • Right of removal: you can ask us to delete your personal data.
  • Right to transferability of data: if it is technically possible, you have the right to have the personal data we process about you transferred to a third party.
  • Right to restriction of processing: in some cases, you may request that we restrict (temporarily or otherwise) the processing of your personal data which means that we process less of your data.

With your request, we may ask you to identify yourself. To do this, we request information to ensure that you are the correct person to whom the personal data belongs. Depending on the information we have about you, we may ask you to do so by enclosing a valid identification document. It is important that you shield your BSN and passport photograph when doing so.

In principle, we will comply with your request within 30 days. However, this deadline may be extended for reasons related to the specific rights of data subjects or the complexity of the request. If we extend this deadline, we will notify you in a timely manner.

Filing a complaint

If you feel that we are not helping you in the right way, you have the right to file a complaint with the privacy regulator. For the Netherlands this is called the Personal Data Authority.
